Effective reminder management ensures your notification system stays organized and relevant. Smart Reminders provides comprehensive tools to view, edit, delete, and control all your reminders from one place.

Viewing Your Reminders

List Command

The list command displays all your active reminders in Microsoft Teams or the web dashboard.

Command:

list

What you see:

  • All upcoming reminders
  • Task descriptions
  • Scheduled times
  • Reminder IDs for reference
  • Status (active, paused, completed)

Example output:

Your Upcoming Reminders:

1. [ID: 1234] Submit weekly report

Filter by Type

View specific reminder categories:

Personal reminders only:

Sort and Filter Options

When using the web dashboard, additional filtering is available:

  • By date range: View reminders for specific time periods
  • By status: Active, paused, completed, or all
  • By channel: Filter team reminders by specific channels
  • By assignee: See reminders assigned to specific people
  • By tags: If you use tags to categorize reminders

Editing Reminders

Edit Task Description

Change the description of an existing reminder:

Command:

edit reminder [reminder_id] description [new description]

Example:

edit reminder 1234 description Submit Q1 financial report

Edit Time

Change when a reminder fires:

Command:

edit reminder [reminder_id] time [new time]

Example:

edit reminder 1234 time Friday at 5pm

Edit via Dashboard

Using the web or Teams dashboard interface:

  1. Click on the reminder you want to edit
  2. Click the Edit button or icon
  3. Modify any field:
    • Task description
    • Date and time
    • Recurrence pattern (for recurring reminders)
    • Assignee
    • Tags or categories
  4. Click Save Changes

Edit Recurrence Pattern

For recurring reminders, you can modify the repetition schedule:

Command:

edit reminder [reminder_id] recurrence [new pattern]

Example:

edit reminder 1236 recurrence every Monday and Wednesday at 9am

Deleting Reminders

Delete a Single Reminder

Remove a reminder permanently:

Command:

delete reminder [reminder_id]

Example:

delete reminder 1235

Confirmation: Smart Reminders asks for confirmation before deleting to prevent accidental removal.

Delete via Dashboard

  1. Locate the reminder in your list
  2. Click the Delete button or trash icon
  3. Confirm the deletion when prompted

Delete Multiple Reminders

In the web dashboard, you can bulk delete:

  1. Check the boxes next to multiple reminders
  2. Click Delete Selected
  3. Confirm the bulk deletion

Delete All Completed Reminders

Clean up your reminder list by removing completed items:

Command:

delete completed

This removes all one-time reminders that have already fired and been marked complete.

Marking Reminders Complete

Manual Completion

Mark a reminder as complete without waiting for its scheduled time:

Command:

complete reminder [reminder_id]

What happens:

  • One-time reminders: Marked as complete, no notification sent
  • Recurring reminders: Current instance marked complete, next occurrence still scheduled

Auto-Completion

One-time reminders automatically complete after their notification is delivered.

Completion History

View your completion history in the web dashboard:

  1. Navigate to History or Completed
  2. See all completed reminders with timestamps
  3. Filter by date range
  4. Review task completion patterns

Pause and Resume Recurring Reminders

Pause a Recurring Reminder

Temporarily stop a recurring reminder without deleting it:

Command:

pause reminder [reminder_id]

What happens:

  • Reminder stops firing
  • Remains in your list with “Paused” status
  • Can be resumed later
  • Schedule is preserved

Use cases:

  • Temporary leave or vacation
  • Project on hold
  • Seasonal activities
  • Testing or debugging

Example:

pause reminder 1236

Confirmation: ✓ Reminder paused. Use 'resume reminder 1236' to restart.

Resume a Paused Reminder

Restart a paused recurring reminder:

Command:

resume reminder [reminder_id]

What happens:

  • Reminder returns to active status
  • Resumes regular schedule
  • Next occurrence calculated from resume time

Example:

resume reminder 1236

Confirmation: ✓ Reminder resumed. Next occurrence: Tomorrow at 9:00 AM

Pause All Personal Reminders

Temporarily pause all your personal reminders at once:

Command:

pause all

Useful for:

  • Extended vacations
  • Focus time without interruptions
  • Sabbaticals
  • Temporary leave

Resume All Reminders

Restart all paused reminders:

Command:

resume all

All previously paused reminders return to their regular schedules.

Jump to Original Teams Conversation

When a reminder was created from a Teams conversation, you can navigate back to that context.

From Reminder Notification

When you receive a reminder notification in Teams:

  1. Click the View Context button in the notification
  2. Teams navigates to the original conversation where the reminder was created
  3. See the full context and thread

From Reminder List

In the reminder list or dashboard:

  1. Click on the reminder to view details
  2. If created from Teams, a View Conversation link appears
  3. Click to jump to the original Teams message

Why This Matters

Jumping to the original conversation helps you:

  • Understand the full context of why the reminder was created
  • See related messages and discussions
  • Access files or links mentioned in the original thread
  • Follow up with the same people involved

Example use case:
A reminder to “follow up on budget discussion” links back to the Teams channel conversation where budget was discussed, giving you immediate access to all relevant details.

Conversation links are available when reminders are created:

  • From a Teams channel message
  • From a Teams chat
  • By mentioning the bot in a conversation

Reminders created via the web dashboard or personal app won’t have conversation links.

Snooze Reminders

Snooze When Notification Arrives

When you receive a reminder notification but aren’t ready to act:

In notification card:

  • Click Snooze button
  • Choose duration: 10 min, 30 min, 1 hour, 2 hours, or custom
  • Reminder re-fires after the snooze period

Via command:

snooze reminder [reminder_id] for [duration]

Example:

snooze reminder 1234 for 1 hour

Snooze Options

Available snooze durations:

  • 10 minutes
  • 30 minutes
  • 1 hour
  • 2 hours
  • 4 hours
  • Until tomorrow
  • Custom time

Search Reminders

Search by Keyword

Find reminders by searching task descriptions:

Command:

search reminders [keyword]

Example:

search reminders budget

Returns all reminders containing “budget” in the description.

Advanced Search (Web Dashboard)

The web dashboard offers advanced search:

  • Keyword: Search task descriptions
  • Date range: Find reminders within specific dates
  • Assignee: Filter by who the reminder is for
  • Channel: Search reminders in specific Teams channels
  • Tags: Search by custom tags
  • Status: Filter by active, paused, completed

Search Filters

Combine multiple filters for precise results:

  • Keyword: “report”
  • Date range: This month
  • Status: Active
  • Type: Recurring

Results show only active recurring reminders about reports scheduled this month.

Reminder Details View

View Complete Details

Click on any reminder to see full details:

Information shown:

  • Task description
  • Creation date and time
  • Creator (who created it)
  • Scheduled date and time
  • Recurrence pattern (if recurring)
  • Assignees (who it’s assigned to)
  • Channel or chat location
  • Completion history
  • Link to original conversation
  • Edit and delete options

Reminder Timeline

For recurring reminders, view the timeline:

  • Past occurrences with completion status
  • Upcoming scheduled occurrences
  • Any skipped or missed instances
  • Pause/resume history

Bulk Operations

Select Multiple Reminders

In the web dashboard:

  1. Check boxes next to multiple reminders
  2. Choose a bulk action from the toolbar

Available Bulk Actions

  • Delete Selected: Remove multiple reminders at once
  • Pause Selected: Pause multiple recurring reminders
  • Resume Selected: Resume multiple paused reminders
  • Mark Complete: Complete multiple one-time reminders
  • Export: Export reminder details to CSV or JSON

Bulk Edit

Change properties for multiple reminders:

  1. Select reminders
  2. Click Bulk Edit
  3. Choose property to change (time, tags, etc.)
  4. Apply changes to all selected

Reminder Notifications Settings

Configure Notification Channels

Choose where you receive reminder notifications:

Available channels:

  • Microsoft Teams chat
  • Email
  • Web push notifications
  • Mobile push (if mobile app available)

Set preferences:

  1. Go to Settings > Notifications
  2. Toggle each channel on/off
  3. Save preferences

Quiet Hours

Set times when reminders shouldn’t disturb you:

  1. Navigate to Settings > Quiet Hours
  2. Define start and end times (e.g., 10pm to 7am)
  3. Choose what happens during quiet hours:
    • Delay notifications until quiet hours end
    • Deliver silently (no sound/banner)
    • Skip notifications entirely

Notification Preview

Control how much information appears in notifications:

  • Full: Show complete task description

  • Most active channels: Which Teams channels use reminders most
  • Reminder streak: Consecutive days with reminder activity

  • Peak reminder times
  • Most frequently used reminder types
  • Average reminders per day/week/month
  • Completion trends over time

Tips for Effective Reminder Management

Regular Cleanup

  • Review reminders weekly
  • Delete obsolete or outdated reminders
  • Update descriptions for clarity
  • Adjust times if schedules change

Use Consistent Naming

  • Include project names or tags in descriptions
  • Use prefixes for categorization (e.g., “URGENT:”, “FYI:”)
  • Keep descriptions concise but descriptive

Leverage Tags and Categories

  • Add custom tags to organize reminders
  • Create categories for different projects or teams
  • Filter and search by tags for quick access

Set Realistic Schedules

  • Don’t over-schedule reminders
  • Leave buffer time between reminders
