Leave Management Overview
The Leave Management module automates the entire time-off process. It allows employees to apply for leave, managers to approve it, and the system to track balances automatically.
Leave Types and Policies
Your organization may configure various leave types. Common examples include:
- Casual Leave (CL): For personal matters.
- Sick Leave (SL): For medical reasons.
- Earned/Privilege Leave (EL/PL): Accrued over time based on days worked.
- Unpaid Leave (LOP): Leave without pay.
- Maternity/Paternity Leave: For new parents.
Each leave type has its own policy regarding accrual, carry-forward limits, and negative balance allowance.
Leave Balance Calculation Basics
- Opening Balance: Leaves carried forward from the previous year.
- Accrued: Leaves added to your account (e.g., 1 day credited per month).
- Consumed: Leaves already taken.
- Available Balance: Opening + Accrued - Consumed.
To view your balance: Go to Leave > My Leave to see a summary card for each leave type.
Applying for Leave (Employee Flow)
- Navigate to Leave > Apply Leave.
- Select Leave Type: Choose from the dropdown (e.g., Sick Leave).
- Select Dates: Choose “From Date” and “To Date”.
- You can mark days as “Half Day” if applicable.
- Reason: Enter a brief description for your manager.
- Contact Details: (Optional) Enter emergency contact info while away.
- Click Submit.

Leave Approval Workflow
Once submitted, the leave request status changes to Pending.
- The Reporting Manager receives an email and dashboard notification.
- The Manager views the request along with the employee’s current leave balance and team calendar.
- The Manager clicks Approve or Reject.
- If Approved, the days are deducted from the employee’s balance.
- If Rejected, the balance remains untouched, and the employee is notified.
Leave Status and History
Employees can track their requests under Leave > Leave History. Statuses include:
- Pending: Awaiting manager action.
- Approved: Confirmed time off.
- Rejected: Denied by manager.
- Cancelled: Cancelled by the employee before the leave date.
Leave Reports
Admins can generate insights on leave trends:
- Go to Reports > Leave Reports.
- Available reports include “Leave Balances,” “Leave Transaction History,” and “Absenteeism Report.”
- These reports help in resource planning and identifying attendance patterns.
